Every trip, to whoever was driving

It's the rule that puts everything in order. FleetPilot 2.0 knows who had each car at every moment —the day's cover overrides the shift assignment— and attributes every trip, every top-up, every journey and every fine to them. Whatever it can't attribute stays "unassigned", with the reason, until someone resolves it.

The weekly rota, with no gaps

Shift templates, driver–car assignments with their history and signed declaration, absences, cover and day and night relief drivers. The rota flags whatever is left uncovered; the map shows where every car is and the route it followed on each trip.

Compliance and regulation

VTC and taxi regulation, built into the application

Every rule is checked against the official texts (BOE, BOCM and government websites) and enforced by the database: a car without a valid MOT or insurance can't be assigned, a clock-in can't be edited and an issued invoice can only be corrected with another. FleetPilot 2.0 helps you comply and keeps the record; each company and its advisers remain responsible.

Claude works with you, under your permissions

Connect FleetPilot 2.0 to Claude (claude.ai, desktop, mobile or Claude Code) and just ask: who had a car at a given time, which fines fall due this week, which owner earned least this month or who has unbanked cash. If your profile allows it, Claude can also make changes in FleetPilot 2.0, under the same rules as the application.

What is FleetPilot 2.0?

FleetPilot 2.0 is VTC and taxi fleet management software for fleet managers and companies running vehicles owned by several investors. A single web application covers vehicles with their licence, MOT and insurance; workshop, claims and inspections; drivers with their contract and working-time records; the shift rota and assignments; Uber, Bolt, Cabify, FREENOW and taxi takings attributed to whoever was driving; payroll with the collective-agreement bonus; expenses, fuel cards and cash; each owner's statement and chained invoicing; fines, discrepancies and compliance. It is designed and developed by City Scape Ventures S.L..

Who is it for?

For VTC and taxi fleet managers working with several platforms and with cars belonging to different owners (self-employed people and companies who provide the vehicle and the licence), and for companies with their own fleet and salaried drivers. Everyone has a role: administrator, management, traffic manager, branch manager, HR, finance, workshop and fleet, driver, owner, payroll advisers and auditor.

How does it know which driver made each trip?

Through attribution: every trip, charge, journey or fine is assigned to whoever had the car at that moment. The day's cover (a relief driver covering a day off) overrides the shift assignment, and a trip spanning two shifts counts for the one containing its end time. If it can't be determined —an unknown plate, a car with nobody assigned or an ambiguous assignment— the trip stays "unassigned" with the reason and counts for no driver until someone resolves it. Each trip record explains who was driving and why.

Which platforms and integrations does it work with?

It has 39 integrations: ride-hailing platforms (Uber, Bolt, Cabify, FREENOW and taxi radio networks), telematics (Wialon, Geotab, Samsara, Webfleet, Tesla, Smartcar), fuel, charging and tolls (Moeve, Shell, Solred, Galp, Via-T and charging operators), government services (VTC services register, DGT, tax agency VeriFactu) and fine management, banking (Tink, GoCardless), accounting and HR (Holded, Factorial, Sesame, A3, Sage), e-signature (Signaturit, DocuSign), messaging and Claude. In the demo they are all simulated with each API's real shape. 28 have the live connection ready according to their documentation, pending validation with the customer's credentials; the rest are developed with the provider and, in the meantime, their export file is imported.

How does it calculate payroll and the bonus?

From the driver's own trips and each company's productivity-agreement parameters, versioned over time (the Madrid region VTC collective agreement allows it in article 26): monthly takings, pro-rated base salary, scale band, fuel and mileage allowances, supplements and deductions (debt acknowledgements, fines, advances, cash). Payslips are generated, adjusted with a full trail, closed and exported for the payroll advisers. Drivers see a simulation of the current month's payslip in My shift.

What does it do with fines?

It receives fines from the DGT, city councils and transport authorities, proposes the responsible driver in cascade (trip in progress, current assignment, last assignment) with a confidence level and the evidence, and counts down the 20 calendar days the Spanish traffic law gives to identify them, plus the early-payment window. Fines are then charged and, if agreed, deducted from payroll. Identification to the authority is always done by a person with the right permission, never by Claude.

Does it cover working-time records and VeriFactu?

That's what it's built for. Clock-ins can only be added and are kept in a SHA-256 hash chain: a correction is a new entry with its reason, and records are kept for four years and exportable for the labour inspectorate (Workers' Statute, art. 34.9). Invoices are chained with the previous one's hash, VeriFactu-style (Royal Decree 1007/2023, mandatory from 1 January 2027 for companies and from 1 July 2027 for everyone else), with submission to the tax agency prepared. FleetPilot 2.0 helps you comply and keeps the record; it does not replace each company's own advice.

What do drivers and owners see?

Each has their own portal on the phone, with nothing to install. Drivers, in My shift: clocking in, the vehicle check with photos, their takings, this month's simulated payslip, cash to deposit, expenses, incidents, documents to sign, fines and holidays. Owners, in My investment: their cars' net and result, their statements with the breakdown and approval, management invoices, their drivers, fines, claims and fleet compliance. Neither sees anything belonging to anyone else.

Can it be used with AI?

Yes. FleetPilot 2.0 connects to Claude (claude.ai, desktop, mobile or Claude Code) and each person asks in their own language who had a car, which fines fall due, which owner earned least or who has unbanked cash; if their profile allows it, Claude can also make changes. It acts with the user's permissions, only sees their branches and what their profile sees, everything goes into the audit trail and it never signs anything or names drivers to an authority.

Does each person only see their own data?

Yes. Security is enforced by the database: each user sees the branches assigned to them, income, costs, payroll, statements, personal, bank, health and location data are hidden by permission (through Claude too), drivers and owners only see their own data through their portals, and every change is audited.

How does implementation work? Do you import my existing data?

Yes: we bring in the data from what you use today (spreadsheets, platform reports, bank and card statements, your current software) with an import report: owners, vehicles, licences, drivers with their contracts, cards and trip history. Then we configure your agreement and bonus, management fees, shifts, branches and roles, connect the integrations with your credentials and go live with you, with training for the office, drivers and owners.

Can I try it?

Yes, with no sign-up: the public demo has 11 accounts, one per role (including the driver and the owner), with the data of a fictitious fleet manager that resets every day at 7:00 (Spain time).
